Position Overview:
We are looking for a dynamic and highly organized Executive Personal Assistant to provide top-tier support to a family, helping with household management, personal errands, family activities, and executive-level tasks. If you're proactive, detail-oriented, and love the challenge of anticipating needs while maintaining utmost confidentiality, this could be your perfect role. You’ll be at the heart of managing household operations, liaising with contractors, coordinating family logistics, and assisting with a new home construction project. Every day will be different, and your ability to stay ahead of the game will be key.
Key Responsibilities:
Household and Property Management:
- Take charge of grocery shopping and inventory management to keep the household running smoothly.
- Oversee the day-to-day operations of multiple properties, ensuring everything is well-maintained and repairs are handled promptly.
- Coordinate with subcontractors and contractors for both home and vehicle maintenance.
New Home Construction Support:
- Collaborate with contractors and designers, keeping projects on track and within budget.
- Research and manage selections for home-related purchases, services, and supplies, making the family’s new home a true reflection of their needs.
Family and Child-Centric Tasks:
- Organize extracurricular activities, classes, and tutors for children, ensuring they’re always learning and growing.
- Keep track of the family’s busy schedules, from school events to sports practices, ensuring everyone is where they need to be, on time.
Travel Management and Planning:
- Plan and organize seamless travel experiences, including flights, accommodations, and tailored itineraries.
- Be prepared to jump in for last-minute adjustments to ensure smooth family travel.
Errand and Personal Support:
- Run a variety of personal errands, from post office trips to picking up dry cleaning, with a keen eye for detail.
- Offer concierge-level service to the family, assisting with personal needs and making life easier every day.
Administrative and Executive Organization:
- Manage busy calendars, appointments, and communication, working closely with the Executive Assistant to ensure smooth operations.
- Maintain well-organized filing systems and digital records.
- Take on a variety of special projects, from shopping for unique items to research for home construction, travel planning, or creative home initiatives.
Event and Social Coordination:
- Take the lead on planning and executing family events, from birthday parties to special celebrations, ensuring each one is memorable.
- Handle RSVPs, venue bookings, and event logistics with flair.
Financial Oversight:
- Keep track of household and personal expenses, ensuring everything is reconciled accurately.
- Negotiate contracts and manage vendor relationships to keep services within budget.
- Oversee financial matters relating to purchases, contractors, and household staff.
Qualifications:
- 3+ years of experience as a Personal or Executive Assistant or similar role supporting high-net-worth families.
- A master multitasker, with the ability to stay organized while juggling multiple priorities.
- Strong problem-solving skills, with an eye for detail and the ability to anticipate needs before they arise.
- Excellent communication skills, both written and verbal.
- Tech-savvy and proficient in using productivity tools and scheduling software.
- A valid driver’s license and reliable transportation.
- Flexibility to work outside of standard hours when needed.
Compensation:
Up to $100,000 Gross per Year + Benefits
